Go to Incoming Payment (from the top of the dashboard)"Record money received from your customers and allocate it to one or more outstanding invoices."

Allocating it

The screen lists the customer's open invoices with Invoice Number, Date, Days Outstanding, Total, Outstanding, Discount and Payment, so you allocate against specific invoices rather than only onto the customer account and reconciling later.

 

Auto Allocate does it for you where the payment matches.


Amount Received and Balance update as you go.


Seeing how overdue a customer is, while you're receiving payment


An Aging Analysis sits on the same screen — Balance, under 30 days, 30–60, 60–90, 90–120 and over 120. So the person taking the payment can see the shape of the account without opening anything else. This is useful say when a customer pays one invoice and leaves three older ones sitting.


Two things that are worth turning on

  • Send Thank You Text for the payment — a text to the customer confirming the payment landed.
  • Email the Payment Receipt — a receipt by email.

Both cost nothing and both prevent the "did you get my payment?" call. The text of each is yours to edit.
