Setting up the Work Shop module

Turn Work Shop on in Apps, then configure it under Settings & tools → Work Shop.



Starting a job

Stock on jobs


Deduct the stock when allocating it to the Repair Card takes parts out of stock the moment they're allocated to the job, rather than at invoicing. Your stock figure reflects what's actually been used, and the job carries its true cost as it runs.



Finishing and handing back


Record the Collected By and AfterCare confirmation captures who collected the machine and confirms the aftercare conversation happened. Both are the sort of thing that matter when there's a dispute.



Invoicing

When invoicing multiple Work Orders, group them into one invoice per customerOne invoice per customer instead of one per job. Requires stock deduction on allocation.
Invoice Repair Card as one lineInvoices the total as a single line and deducts the stock directly

Budgets


Tracking the Customers Budget is not required — untick to track a customer's authorised spend on a job, so you know before you go over it.



Your own statuses


Under Statuses, define your own workshop statuses with a name and display order — the demo has Awaiting Parts, Job Complete and Customer Notified. These become your Kanban columns, so the board reflects how your workshop actually describes a job.



Printing


Use custom templates, and choose whether to print the Nett Amt and the VAT Rate on the repair card.



Email


Technicians don't send emails when saving a Job Sheet stops a customer email going out every time a technician saves.
