The Diary: appointments, pickups and returns

The Diary is a top-level part of Turbo, not something tucked inside one module. Whatever you schedule — a service appointment, a collection, a site visit — it goes here.



Views


Switch between day, 5 Days, list and month. Use today and the arrows to move around, or Jump to Date.



Filtering by employee


Use the Employee dropdown to see one person's day or All Employees together. The demo shows individual staff alongside a Work Shop resource, so you can schedule against a place or a bay as well as a person.



Appointment states


The legend shows the states an appointment moves through — Client Arrived and Appointment Finished — so the diary reflects what's actually happening, not just what was booked.

Use New Appointment.



Sending customers a reminder by text


SMS reminders don't run from the diary — they run through the Reminders module, and they need a Clickatell account connected.


Once it is:

  1. Create a reminder and give it an SMS message.
  2. Apply that reminder to a product.
  3. Enable the SMS option on it.


The message is sent when the reminder falls due. So this is the "your service is due" text, rather than a same-day appointment nudge.



Adding an appointment


Click a slot in the diary and Add appointment opens with:

Appointment forWho the appointment is with — the customer or patient
TitleWhat it's for, as it appears in the diary

RoomWhich room it's in, from your maintained list — Settings & tools → Veterinary → Rooms
EmployeeWho's taking it, or No Employee Required
Reason for the AppointmentFree text — why they're coming in


No Employee Required matters more than it looks. Plenty of appointments book a room and a slot without booking a person — a drop-off, a collection, a nurse-led check that anyone free can take. 



Reading the diary


The colour legend runs Client Arrived → Appointment Started → Appointment Finished → Appointment Invoiced, so the state of the day is readable at a glance rather than by opening records.


Filter by Employee — one person or All Employees — and switch between day, 5 Days, list and month. Where you run more than one site, each location has its own column heading.


The Next Appointment panel shows what's coming, with Breed, Colour, Contact and DateTime.



Pickups & Returns


Click Pickups & Returns from the diary for the due-rentals view — what's going out and what's coming back.

  • Toggle between Pickup and Return
  • Filter by date using equals, is less than or is greater than
  • Export to Excel


The columns are built for acting on, not just looking at: Reference · Customer · Address · Phone · Mobile · Email · Machine · On Hire · Off Hire.

Everything a hire desk needs to ring ahead and confirm a collection is on the one row.



Why the diary matters across the product


Many businesses may have a whiteboard — collections, service visits, appointments, who's where, which could cause an issue when the person who owns the whiteboard is on holiday.. The diary takes it off the wall and gives everyone the same view, including the ability to text the customer a reminder.
