There are three ways to group customers, each doing a different job. All three options are under Settings & tools → Customers.
(1) Tags
Free-form labels you apply to customers. Use them for anything you want to filter or report on that isn't a formal category — a trade show they came from, a product area, a service level.
Tags earn their keep in reporting: Sales by Customer Tag breaks your sales down by tag. There are also Sales Invoice Tags for tagging transactions rather than customers, reported through Sales by Tag and Sales by Staff and Tag.
(2) Customer Classes
A formal classification of the customer.
(3) Price Books
Price books hold the prices a group of customers gets, so trade pricing is applied by who the customer is rather than by whoever's serving them remembering.
Linked customers — parent and child accounts
Where one customer has several sites, branches or subsidiaries, accounts can be linked so a parent sits above its children.
Open the Customer Quick View and go to CRM — Linked Customers shows the accounts linked to the one you're looking at. Parent accounts can also see their child customers on the Customer Portal.
This is the difference between invoicing a nine-site customer nine times with no overall picture, and having head office able to see the whole relationship while each site sees its own.
How each customer wants to be contacted
Four tickboxes on the customer record record consent separately:
- Contactable by TextWhatsApp
- Contactable by Phone
- Contactable by Email
- Contactable for Marketing
Keeping marketing separate from the other three is the distinction that matters: you can text a customer about their delivery without that being permission to market to them.
