Overview

This guide explains how to create a sales invoice, including navigation options, permission requirements, and completing customer, product, and payment details.

Permissions

Creating sales invoices is permission-based.

  • Depending on your user role, you may not see the option to create a sales invoice.

  • If the option is unavailable, contact your system administrator.

Ways to Create a Sales Invoice

There are two main ways to create a sales invoice.

Option 1: Quick Add (Home Screen)

From the Home Screen:

  1. Click the Quick Add – Sales Invoice button.

    • If additional modules are enabled, this may appear as New Document.

  2. Select Sales Invoice from the available document types (if applicable).

Option 2: Sales Menu

From anywhere in the system:

  1. Go to Sales.

  2. Click Sales Invoices.

  3. Click Add Sales Invoice (bottom-right corner).

Completing a Sales Invoice

Once the Sales Invoice screen opens, complete the following steps.

Customer Details

  1. Select the Customer.

  2. For cash sales, you can use Bill To if you want customer details printed on the invoice.

Adding Products

  • Scan products or select them manually.

  • Products will populate the invoice line items automatically.

Payments

Depending on the sale type:

  • Cash Sale:

    • Post payment at the time of invoicing

  • Credit Sale:

    • Charge the invoice to the customer’s account

Additional Information

You can also enter:

  • Purchase Order (PO) number

  • Any additional notes or reference details required

Finalising the Invoice

  • Review all details for accuracy

  • Post or save the invoice as required

Best Practice Tips

  • Confirm customer type (cash vs credit) before posting payment

  • Ensure all products and quantities are correct

  • Always enter PO numbers when provided by the customer

Summary

To create a sales invoice:

  • Use Quick Add from the Home Screen, or

  • Navigate to Sales → Sales Invoices → Add Sales Invoice

Remember:

  • Invoice creation is permission controlled

  • Payment handling depends on cash or credit sales

  • Additional references such as PO numbers can be added before finalising
