Turbo Inventory allows you to view and manage work card documents associated with completed repairs and invoiced sales. If you need to access documents for a work card, the process may differ depending on whether the work card was completed before or after an invoice was generated.
This guide will walk you through the steps to retrieve work card documents when they are not automatically linked to an invoice.
1. Finding the Work Card
To retrieve the documents related to a specific work card, follow these steps:
Identify the Work Card Number:
If you are working with an invoice and need to find the associated work card documents, begin by identifying the work card number.
Access Documents for Invoices Created After Work Card Completion:
For work cards completed and invoiced recently, you can simply click View on the invoice and navigate to the Attachments tab to access the documents directly.
Access Documents for Older Invoices:
For invoices created before the work card was linked to the invoice, you will need to use the following method to retrieve the related documents.
2. Using Analytics to Find the Work Card Documents
Go to Analytics > Completed Repair Cards.
Click on Run to generate a list of completed repair cards.
In the Reference field, enter the work card number (or the invoice number) to narrow down the results. For example, you can paste the invoice number to search for associated work cards.
Adjust the date range if needed, especially if the work card was completed in a different time period than the one you are currently viewing.
3. Viewing the Work Card Documents
Once you’ve located the work card in the list, click on the relevant work card (e.g., 10108).
You can view the details of the work card by clicking View, or click the three dots (...) next to the work card and select View to see the documents associated with it.
4. Accessing the Documents Directly from the Invoice Screen (Alternative Method)
Alternatively, you can access the work card documents directly from the Sales Invoice screen:
Go to Sales Invoices and locate the invoice you're working with (e.g., Invoice 100794).
From the invoice screen, navigate to the Attachments tab to see if the documents are linked.
If the documents are not automatically linked, follow the Analytics method above to retrieve the necessary documents.
5. Accessing Documents for Recently Created Work Cards
For invoices created after the work card, documents will automatically be linked to the invoice. Simply open the invoice and access all related documents via the Attachments tab.
Conclusion
Turbo Inventory allows you to easily access work card documents, whether they are linked directly to the invoice or require you to search through the Analytics module. By following the steps outlined in this guide, you can quickly retrieve the necessary documents for any work card, even if it was completed before the document linking feature was introduced.
