Focus: Collecting & Automating Signatures for Work Orders
Platform: Turbo Inventory (Cloud & Mobile)

? Overview

In many organizations, collecting customer signatures on work orders is a policy requirement. However, collecting engineer signatures for every job can be repetitive and inefficient — especially when the system already tracks the work done.

Turbo Inventory introduces a hybrid solution:

  • Customer signatures are manually collected at job completion.

  • Engineer signatures are automatically assigned based on system login and job activity.

? Engineer Auto-Signature Setup

Step 1: Save the Engineer's Signature

  1. Navigate to Settings & Tools → Staff Users

  2. Select the relevant user and click Edit

  3. Go to the Signature tab

  4. Have the engineer sign once using the signature pad

  5. Save changes

This saved signature will now be used on all relevant documents automatically.

? Configure Work Order Template for Dual Signatures

  1. Go to Settings & Tools → Apps → Workshop

  2. Under the Printing section, enable “Use Custom Templates”

  3. Open Report Designer and select your Work Order Template

  4. Add two signature fields:

    • Employee Signature → Variable: employee_signature

    • Customer Signature → Variable: customer_signature

  5. Optionally, redesign your work order for:

    • On-site job confirmation

    • Post-service sign-off

    • Internal vs. customer-facing versions

? You can create multiple print templates (e.g., “Work Order - Signed” vs. “Work Order - Draft”).

?‍? Clocking On & Capturing Signatures (Mobile)

Engineer Flow:

  1. Open the Workshop on the mobile app

  2. Clock onto a job (PIN setup required)

  3. Complete work:

    • Add parts

    • Attach photos

    • Log time

  4. Click the pencil icon to begin customer signature

  5. Ask the customer to sign and click Save

  6. Clock off when finished

Turbo automatically:

  • Assigns the job to the logged-in engineer

  • Stamps their saved signature onto the job

? Signature Storage & Reporting

  • Both signatures are stored directly within the Work Order record

  • Work Order Reports include:

    • Customer signature

    • Engineer signature

    • Write-ups, time entries, and user logs

? No duplicate signing required — the engineer’s login and activity serve as a validated digital signature.

? Printing Work Orders with Signatures

  1. From the Workshop module, open the completed Work Order

  2. Choose Print

  3. Select your custom print template with dual signature fields

  4. Download, print, or email the signed document

✅ Benefits of this Workflow

  • Reduces unnecessary manual steps for engineers

  • Ensures accurate and auditable signature tracking

  • Keeps signature collection consistent for customer-facing documentation

  • Supports fully digital job validation and compliance
