Sales Order Price Approval Workflow

Feature: Discount Approval Process for Sales Orders
Platform: Turbo Inventory (Cloud + Mobile + Integrated Sales Channels)


Purpose

The Sales Order Price Approval feature ensures that discounted sales orders are reviewed and approved before proceeding, giving sales teams the freedom to negotiate while maintaining control over pricing at the management level.


Why Use Price Approval?

  • Prevent unauthorized discounts

  • Ensure profitability thresholds are met

  • Create a structured workflow between sales reps and approvers

  • Enable centralized approval for all sales order sources (cloud, mobile, integrated channels)


Enabling Price Approval

Step 1: Turn On the Feature

  1. Go to Settings & Tools

  2. Scroll to Advanced Configuration

  3. Click into Sales Orders

  4. Enable: “For Sales Orders with Discount, approval is needed”

  5. Click Save

When enabled, sales orders with discounts will automatically have their workflow status set to "Price Approval Required"


Setting Up Email Alerts

To ensure approvers are notified when a new discounted order is created:

Step 2: Assign User Alerts

  1. Go to Settings & Tools → Staff Users

  2. Edit the relevant user

  3. Scroll to the Alerts section

  4. Enable: “Sales Order Price Approval Needed”

  5. Save the changes

The selected user(s) will now receive email alerts when a new sales order requires approval.


Managing Sales Orders with Price Approval

Step 3: Filter Orders Requiring Approval

  • Go to Sales Orders

  • Use the new filter: “Price Approval Required”

  • This instantly shows only orders pending approval

Step 4: Approve the Order

  1. Click Edit on the sales order

  2. Change the Workflow Status from Price Approval Required to Approved

  3. Click Save

?You can customize intermediate workflow statuses if needed. Once Approved, the sales order will not revert back unless modified again.


What Happens if a Discount is Changed?

If an approved sales order is later edited and a discount is changed or added:

  • The workflow will automatically reset to "Price Approval Required"


Source Flexibility

This workflow applies regardless of how the sales order was created:

  • From the web interface (cloud)

  • From the mobile app

  • From integrated sales channels

Approval logic is consistently applied across all entry points.
