? Overview

The Quote Approval Workflow allows your clients to review, approve, or reject quotes online — without any manual follow-up from your team. This streamlines the sales process, eliminates paperwork, and enhances the professional experience for your customers.

? Pre-Requisites

  • A valid quote created for the customer

  • Templates and email setup configured (see below)


?️ Step-by-Step: Sending a Quote for Approval

1. Create the Quote

  • Standard quote creation applies

  • Refer to the Quote Creation Training if needed

2. Add Critical Notes (Optional)

  • Use the Customer Notes field to highlight any important disclaimers or conditions (e.g., "No refunds on this item", safety notes for hire, etc.)

  • These notes appear prominently on the client approval screen

3. Email the Quote to the Client

There are two ways for the client to access the approval screen:

Option 1: Email Link

  • The quote email includes a direct link to the approval page

  • To configure:

    • Go to Settings & Tools → Language

    • Search for "Quotes"

    • Edit the Email Quotes In Message

    • Insert the appropriate dynamic link field (contact support if unsure)

Option 2: Customer Portal Access

  • Clients with access to the Customer Portal can:

    • Go to the Quotes tab

    • Click Actions → View Quote → Approve or Reject

? If most of your clients do not use the portal, email links will likely be your primary method.


?️ Client Quote Interaction

1. Review

  • The customer views their quote

  • Notes and product details are visible

  • Two options: Approve or Reject

2. Reject

  • Client selects a rejection reason (customizable)

  • Can optionally add notes

  • Status is updated to "Rejected"

  • Quote moves to the Rejected tab

3. Approve

  • Customer provides:

    • Full name

    • Signature (mouse/touch input)

  • Once submitted:

    • Quote is locked

    • Status updated to "Approved"

    • Signature is saved and displayed


? Internal Visibility & Workflow

  • New column: Signature — Displays if a quote has been signed

  • Use the Approved tab to filter all signed quotes

  • Continue with your internal workflow (convert to sales order, etc.)

  • Toggle filters to return to all open quotes


? Notes & Best Practices

  • ❗ Once signed, quotes cannot be edited or re-approved

  • ✅ Quotes remain digitally traceable with timestamped approval

  • ? Rejected quotes can be revised and re-sent if needed

  • ? Ensure the email template includes the quote access link
