Overview
This guide explains how to create a Proforma Invoice, including where to find the option, adding customer and product details, and posting the document.
Accessing Proforma Invoices
To create a new Proforma Invoice:
Use the left-hand side menu.
Click Sales.
Select Proforma Invoices.
From the Proforma Invoice list screen, click Add Proforma Invoice.
You will be brought directly into the Proforma Invoice screen.
Completing a Proforma Invoice
Once the Proforma Invoice screen opens, complete the following steps.
Customer Details
Select the Customer for the proforma invoice.
Adding Products
Products can be added in multiple ways:
Search by typing in the product search field
Scan products using an attached barcode scanner
All selected products will appear as line items on the proforma invoice.
Additional Details
You can also enter:
Purchase Order (PO) number
Notes relating to the proforma invoice
Deposit amount, if required
These fields help capture all necessary information before posting.
Posting the Proforma Invoice
When all details are complete, you can:
Charge – to take payment immediately, or
Post to Account – to post the proforma invoice against the customer’s account
The option used depends on whether the transaction is being paid immediately or handled as a credit-based transaction.

Confirm customer and product details before posting
Always include PO numbers and notes where applicable
Use deposits where required to secure orders
