When receiving goods from a supplier, it's common to deal with products that require individual tracking — whether by batch number, serial number, or heat number. This training post walks through the process of receiving multiple tracking numbers against a single line item in a Purchase Order (PO).
This functionality is essential when:
You’ve ordered a quantity of a tracked product (e.g., 100 units)
Each unit or group of units has a unique tracking identifier
You need to record these identifiers during the goods-in process
✅ Step-by-Step Guide
1. Open the Purchase Order
Navigate to the purchase order in your system.
Click “Receive” on the relevant PO line to begin processing the inbound stock.
2. Launch the Batch/Serial/Heat Entry Screen
On the receiving screen, locate the Batch Number (or Serial/Heat Number) column.
Click into this field to open the tracking number entry panel.
3. Start Scanning or Entering Tracking Numbers
Use a barcode scanner or manually type and then press enter for each tracking number.
As you scan or type, each number is added to the list.
Example: Scan 3 batch numbers; the system auto-populates them into the entry list.
4. Specify Quantities (if applicable)
For batch or heat numbers, you can allocate a quantity to each number.
Example: Batch A = 40 units, Batch B = 2 units.
For serial numbers, each unit is individually tracked, so quantity is fixed at 1 per number.
5. Save and Complete
Once all numbers and quantities are entered, click “Save”.
This confirms the receipt of those specific units against the PO.
The system updates the received quantity and places the PO into back order for any remaining balance.
